CAM reconciliation for commercial property

Run your CAM reconciliation straight from QuickBooks Online.

Enter each lease's recovery terms once. Every year after that, pull the expenses, run the numbers, and send tenants a statement that shows its math.

The Ledgerstone reconciliation screen for Harbor Point Plaza, 2026: the four-step bar, $412,386.54 recoverable from six tenants, the expense pool with each entry marked recoverable, excluded or capped, and the tenant shares panel.

The year's reconciliation, with every figure linked to the entry in your books.

  • Works with QuickBooks Online
  • Uses your chart of accounts as it is
  • Tenants pay online
  • CAM reconciliation in every plan
  • One price by portfolio size

The problem

Your leases say one thing. Your books say another. Someone reconciles them in a spreadsheet.

Before

Your books are in QuickBooks Online and your recovery terms are in the leases. Between them sits a spreadsheet someone rebuilds every year, from memory, under deadline.

After

Keep the accounting system you already trust.

Ledgerstone holds each lease's rules and reads the expenses from QuickBooks Online. Every number on a statement shows how it was calculated, and lease dates — expiring certificates, scheduled rent increases — come to you as notifications instead of calendar reminders.

Product

How it works

Four steps, the same every year. Nothing gets rebuilt in a spreadsheet.

1

Connect

· Your books

Connect QuickBooks Online. Ledgerstone reads your accounts, classes and locations. Your chart of accounts stays as it is.

2

Enter the lease terms

· Once per lease

Each lease's recovery terms — caps, base year, gross-up, exclusions — entered once and kept with the lease.

3

Run the year

· The expenses, split

Pull the year's expenses, apply each lease's rules, and split the cost by each tenant's share. Every figure links to the entry in your books.

4

Send the statements

· Online, with the math

Lock the year, post the recovery back to QuickBooks Online, and send each tenant a statement they can open online, check and pay.

Also tracked on each lease:

  • Lease escalations
  • Certificates of insurance
  • Options and notice deadlines
  • Lease documents and records
  • Property, unit and tenant records

FAQ

Common questions

Does Ledgerstone replace QuickBooks Online?
No. Your books stay where they are. Ledgerstone reads from them and handles the lease terms and the CAM reconciliation around them.
Does it write to my books?
Yes — the finished recovery. Ledgerstone reads your expenses from QuickBooks Online and never reclassifies or edits them. When you lock a year, it posts each tenant's recovery back to QuickBooks Online as the billing, so nobody re-keys it. Your chart of accounts stays yours.
Who is Ledgerstone for?
Owners and managers of commercial property — office, retail, industrial and mixed-use — who bill tenants for their share of operating expenses.
Can tenants pay through Ledgerstone?
Yes. Each tenant signs in, opens the statement you sent, sees how the figure was calculated, and pays the balance.
How does it know which expenses are recoverable?
You tell it once which accounts, classes and locations count. It uses your existing setup; you don't change your books to fit it.
How do my properties and leases get in?
We set it up with you: connect QuickBooks Online, mark which accounts are recoverable, and enter your properties, units and leases.
